 Protocol and Procedures for Employees Returning to Campus

As of June 1, 2020

Before coming to campus:

  • Employees must be approved by Human Resources to return to campus.
  • The approval process begins by the following:
    1. For employees who have not worked on campus since May 15th you will need to submit/resubmit the revised self-reporting form for health and travel NWCC COVID-19 REPORTING FORM  located on the Northwest website under Coronavirus and Employee Information with updated health and travel information.  If you need to receive approval from HR before returning to work you should not return before June 2nd.
    2. Employee needs to report the following:
      • Have you had contact with anyone with COVID-19?
      • Have you had a fever in the last 24 hours?
    3. If the employee responds “yes” to any questions, employees need to inform their immediate supervisor before returning to campus via phone or email.
    4. Human Resources will notify supervisors of approvals to return to campus when health and travel forms are complete.
    5. Supervisors will notify employees when they are approved to return to campus.
    6. Employees will need to report any new health and travel information if their health and travel conditions change at any time.
    7. Employees that have any underlying health issues that we need to know about before returning to campus should communicate this via email to Human Resources and your supervisor.  Underlying Health Issues that create a higher risk for individuals can be be found on CDC website: https://www.cdc.gov/coronavirus/2019-ncov/need-extra-precautions/people-at-higher-risk.html
  • Employees may be required to wear a mask, bandanna or some type of face covering daily while on campus.  Faculty performing face-to-face instructions may be required to wear a face mask per CDC guidelines.

When to come to work?

  • Beginning June 1 2020, employees will begin phasing out of remote work and paid leave due to Covid-19. Most employees will be expected to report to campus by June 15, 2020. Directors and supervisors may allow remote work access after June 15, 2020 as needed.
  • Faculty performing approved face-to-face instructions should return when approved by Dean or Director.
  • Only approved faculty and staff will be permitted to return to campus.
  •  Employees that are unable to work should report absences to their supervisor and fill out the appropriate absence form.  You will be required to use available leave.
  •  Employees unable to return to work due to symptoms related to COVID-19 should not report to work and notify their supervisor of their absence.  Employees will be required to submit medical clearance before returning to work. The employee should fill out the online Leave Request Form - COVID-19.  Employees may qualify for paid leave under The Families First Coronavirus Response Act (FFCRA).

What will employees be provided?

All employees will receive:

  • Mask
  • Disinfectant wipes or spray
  • Hand sanitizer
  • Information regarding COVID-19 and how to protect yourself and others from COVID-19 located on NWCC website and email
  • Contact information/Emergency numbers on campus
  • Counseling contact information if needed

Daily Health and Safety Procedures

  • All employees should be prepared to wear a mask. Please wear it daily while interacting with others.
  • Before entering and leaving offices, please sanitize your hands.
  • Wash your hands often with soap and water for at least 20 seconds, or use an alcohol-based hand sanitizer that contains at least 60% alcohol.
  • Clean and disinfect frequently touched surfaces. (ex. personal electronics, phone, instruction equipment and lab surfaces)
  • Practice social distancing (about 6 feet or two arm lengths)
  • If you are feeling sick, you should not report to work.  Please let your supervisor know ASAP.

What can I do to protect myself?

 The most important responsibility we each have is to practice prevention. Prevention is vital. Please take appropriate measures such as:

  • Wash hands.
  • Avoid touching your eyes, nose, and mouth.
  • Cover coughs and sneezes with tissues.
  • Avoid close contact with people who are sick.
  • Be responsible and courteous to others and stay home if you are sick. If you are experiencing symptoms, contact your health provider.
  • Respect personal space when greeting others and during conversations.
  • Be mindful of those in high-risk populations such as those with underlying health conditions.

What action is the Northwest taking to protect students, faculty and staff from COVID-19?

College officials continue to actively monitor news and information pertaining to the novel Coronavirus Disease (COVID-19).  We remain in regular contact with the Mississippi Department of Health and other health officials, as well as other community colleges and universities in our state and region. The College is committed to taking all necessary precautions to keep our students, faculty, staff, and the community as safe as possible.

Northwest Custodial services will provide hand sanitizer stations in all scheduled occupied buildings at Public entrances, scheduled classrooms, and restroom entrances.  Disinfectant wipes will be made available in scheduled classrooms and labs.  Custodial staff will maintain frequent sanitizing routines in scheduled occupied buildings.  All frequently touched items are sanitized multiple times each day:  door knobs and surfaces, hand railings, restrooms, classroom desk tops and keyboards.

What should I do if I am sick?

Employees should not come to work if they are sick.  Please contact your supervisor to report your absence. You will be required to fill out a leave form and may use available leave. Under certain circumstances, FMLA coverage may apply, please contact Human Resources for guidance.

What do I do if I have symptoms of COVID-19?

 Symptoms of COVID-19 include fever, cough, and shortness of breath; you should contact your primary care physician.  COVID-19 is a very serious condition that should not be taken lightly. In the event you may be experiencing COVID-19 symptoms, please consult your medical professional.   You will be required to submit medical clearance before returning to work.

What if I have been exposed but am not showing any symptoms?

Employees who believe they have been directly exposed to COVID-19, but are not showing symptoms, should self-quarantine consistent with MDH and CDC guidelines. The CDC guidance for individuals that have been exposed with a person with COVID-19 is to stay home until 14 days after your last exposure https://www.cdc.gov/coronavirus/2019-ncov/if-you-are-sick/quarantine-isolation.html.  Employees should contact their healthcare provider if they become sick and remain home.  Employees must contact their supervisor.  You may be required to use available leave for absences.

What if I have been exposed and am showing symptoms?

Employees who believe they have been directly exposed to COVID-19 and are showing symptoms should seek care from a healthcare provider and may be required to self-quarantine.  https://www.cdc.gov/coronavirus/2019-ncov/if-you-are-sick/quarantine-isolation.html.  What to do if I am considered high risk?

High risk people are individuals with serious chronic and underlying medical conditions as described by CDC. Can I work remotely?

Remote work arrangements shall be defined as those wherein college employees can undertake their typical work functions and/or those necessary to support online and/or other remote operations of the college off-site from a college location. Temporary remote working arrangements will be evaluated on a case by case basis by the college’s administration. See the instructions for Working From Home here.

Why can’t all employees work from home?

Some roles simply cannot be performed from home due to the duties and tasks involved. The college will continue to review individual needs during this evolving situation. You are encouraged to speak to your supervisor, or you may contact Human Resources for further guidance.

 Do I have to self-quarantine if I travel outside the local district?

The COVID-19 outbreak in United States is a rapidly evolving situation.  The status of the outbreak varies by location and state and local authorities are updating their guidance frequently.  If you must travel, follow any state and local travel restrictions currently in place. It is possible that some state and local governments may put in place travel restrictions, stay-at-home or shelter-in-place orders, mandated quarantines upon arrival, or even state border closures while you are traveling. You may be asked to quarantine depending on the status of the outbreak by locations.
