POSITION:  Office Manager, Workforce Development and Community Services (Senatobia Campus)

QUALIFICATIONS:  Must have a high school diploma, Associate’s Degree is preferred. Must have strong bookkeeping and budgeting skills. Must possess intermediate or higher proficiency with Microsoft Excel, with the ability to enter data into spreadsheets and track multiple accounts and funding sources.  Must be well organized with extensive knowledge of administrative and clerical procedures and systems, such as word processing (Microsoft Word), managing files and records, designing forms, and other office procedures. Must possess excellent written and oral communication skills. Must be service oriented, able to meet and interact with the public in a friendly, courteous, and professional manner, and conduct work in office with little supervision. Prefer candidates with experience in Enterprise Resource Planning (ERP), Student Information System (SIS), Customer Relationship Management (CRM), and/or database user interface/query software platforms. Experience managing and maintaining organizational social media accounts preferred as well.



Perform bookkeeping work, including posting data or keeping other records concerning costs of goods or services, for the Workforce Development and Community Services (Workforce, Adult Education and Continuing Education) division by doing the following:

  • Prepare and oversee multiple budgets
  • Comply with federal, state, and college policies, procedures, and regulations
  • Perform financial calculations, such as amounts due and balances
  • Set-up and maintain financial records, log of expenses/revenue and prepare reports
  • Prepare itemized statements, bills, or invoices and record amounts due for items purchased or services rendered
  • Access computerized financial information to answer general questions as well as those related to specific accounts
  • Collect/receive payments and fees, in the form of cash, checks, and money orders, and record and prepare for deposit
  • Document and reconcile monthly credit card statement, as well as other expenditures, with business office
  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes
  • Verify accuracy of billing data and revise any errors
  • Resolve, reconcile or note and report discrepancies found in records
  • As directed by supervisor, submit workforce projects, modifications, and reimbursements to Mississippi Community College Board

(Office management)

Perform day-to-day administrative tasks and general office duties for the division including:

  • Compile, copy, sort, and file records, and support documents, of office activities
  • Maintain and update filing, inventory, and database systems
  • Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take messages, and address complaints
  • Type, format, proofread, process, and edit correspondence and other documents
  • Open, sort, and route incoming mail and prepare outgoing mail
  • Complete work schedules, manage calendars, and arrange appointments
  • Register participants for noncredit classes
  • Purchase office and related supplies
  • Set up/manage/maintain department’s social media accounts under direction of supervisor
  • And assist with other duties as assigned by supervisor or their designee
